Easy accounts, powered by AI
Your books, always in balance.
One ledger that carries the money, the stock and the tax together. AI reads your invoices and bank statements into draft entries, a second person approves them, and every change is kept on record — so the easy way in is also the one that holds up later.
- Nothing saves unless it balances
- AI drafts it, a person approves it

Balanced — ready for someone else to approve
The three rules
What the software won't let you do.
Most accounting tools trust whoever is typing. AccoPro checks the entry, then the person, then the history — and says no to anything that would leave your books hard to prove later.
It has to balance
Debits and credits must match exactly. The check runs on the server every time you save, so it still holds when entries come in from a spreadsheet import instead of being typed.
Someone else signs it off
An entry goes from draft, to checked, to approved — and the person who wrote it can't be the one who approves it. Working alone? It still lets you through, and marks the entry so you can see it later.
Nothing changes quietly
Once an entry is approved it's locked. To fix it you post a reversal, so both the mistake and the correction stay visible. Every change is logged with who made it and when.
One ledger
Money, stock and tax — the same entry.
In most setups these are three systems that have to be reconciled to each other: the books in one place, a stock sheet in another, a tax workbook in a third. Here they are one posting. Record a purchase and the value, the units and the reclaimable tax all land together, from the same document, at the same moment.
The double-entry core
What you own, what you owe, what you earned and what it cost. Debits equal credits or it does not save.

Units and their value
The same entry moves the vehicle onto the lot. Quantity and value can never drift apart, because one posting carries both.

Worked out and posted
Tag the line and the tax is calculated at the rate that applied on that date, posted to its own account and frozen onto the line for later proof.

Which is why the totals agree. Your stock report, your tax summary and your balance sheet are three readings of one set of entries — not three files that someone has to make match at month-end.
AI assistance
AI does the typing. People still approve.
Upload a supplier invoice and AccoPro reads it — who it's from, the dates, the line items, the totals — and hands you a finished draft entry. It never posts anything on its own. Whatever the AI produces walks the same road as anything typed by hand: draft, checked, approved by a second person.
What you upload
A photo of a receipt works too.

It shows you where it's unsure
A line the model is confident about is filled in. A line it isn't gives you its best three guesses to pick from, rather than a blank box or a quiet wrong answer.
It learns how you code things
Drop in a whole bank register and every row is sorted out — first by the rules you've already taught it, then by AI, then by matching names. Correct it once and it remembers for next time.
It keeps the small print
Chassis numbers, purchase order references, delivery terms — the things printed on an invoice that no field is built for. They go into the note on the entry, and never overwrite something you wrote yourself.
Your key, your choice
Bring your own AI provider and key, kept encrypted for your company alone. Leave it blank and the AI features simply switch off — everything else works exactly the same.
What you get
A real ledger underneath, plain screens on top.
Your team shouldn't need an accounting degree to record a payment. Owners get simple money-in and money-out screens; your accountant gets the full journal. Both write to the same ledger.
Day-to-day work
Record what you spent and what you received, raise invoices, and match payments against them.
- Attach the receipt to the entry
- Import a whole bank register at once
- Read an invoice and turn it into an entry
Reports
Balance sheet, profit and loss, and cash flow — laid out the way your board likes to read them.
- Trial balance and general ledger
- Cash and bank position at a glance
- Only approved entries reach a report
Customers and suppliers
See what each party owes you and what you owe them, without digging through the ledger.
- Who's overdue, and by how long
- A statement for any one party
- One party can sit under several accounts
Branches and years
Run several branches under one company. An entry across two branches balances on both sides by itself.
- Close a year properly, in one run
- Carry your opening balances in once
- A closed period won't accept new entries
Stock and the ledger
Inventory that posts itself.
Stock is where most small accounting systems quietly fall apart: quantities sit in one place, values in another, and by year-end the two don't agree. In AccoPro, moving stock is an accounting entry. Follow one vehicle through the four stages below.
The vehicle arrives
You record the purchase once. The cost goes straight into stock — including the freight and duty you add onto that unit, so the figure you carry is what the vehicle really cost you to have on the lot.
This suits stock worth naming one by one — vehicles, machinery, serial-numbered goods — just as well as boxes on a shelf. You choose how cost is worked out: the exact unit, a weighted average, or first-in-first-out.
Make it yours
Set up the way your company works.
No two companies keep their books the same way, and software that pretends otherwise gets quietly abandoned. The things that differ between businesses are settings here — not a change request to a developer.
Your report layouts
Build the balance sheet and profit and loss the way your board reads them: your headings, your order, your wording, with numbered notes underneath. If an account isn't included anywhere, the software tells you — so nothing goes missing from a total.
Your accounts
Start from a ready-made chart of accounts, or bring your own in from a spreadsheet on day one. Group them as deep as you like; only the bottom level takes entries, so nobody posts to a heading by mistake.
Who can do what
Build the roles your company actually has, then give or take away a single permission for one person — without inventing a new role just for them.
Your tax rules
Pick your country and the right tax codes and rates are set up for you. Rates carry dates, so an entry for last year uses last year's rate, and the rate used is saved on the entry — handy years later when someone asks.
Working with your other software
Nothing here is a locked drawer.
Your accounts have to move between tools — a bank's export, a payroll sheet, your auditor's template, whatever the next system turns out to be. AccoPro is built so data gets in and out in ordinary formats, and so the numbers you hand someone are numbers you can hand back.
Spreadsheets in
Most things you would otherwise type arrive as a file. Each import is checked row by row and shown to you before a single entry is written.
- Chart of accounts and opening balances
- Bank payment and expense registers
- Customers, suppliers and other parties
- Stock items and opening stock
Reports out
Every statement downloads as a real file, not a screenshot — so it opens in the tool your accountant, bank or auditor already uses.
- Excel and CSV for anything you want to rework
- PDF for the copies people file and sign
- Printed statements on your own letterhead
Your own AI provider
The AI features run on a key you supply, kept encrypted for your company alone. Change provider whenever you like, or leave it blank and the features switch off cleanly.
Your own database
It runs on your server or your private cloud, on PostgreSQL. Your ledger, attachments and keys sit on storage you control — there is no copy of your books somewhere you cannot reach.
Every screen in AccoPro talks to the same documented REST API, so a system you already run can post and read through it too. Direct connectors to named packages aren't built yet — if there's one you need, tell us when we talk and we'll tell you honestly where it sits.
Getting started
On your own numbers in four steps.
A guided setup walks a new company through to go-live. Stop whenever you like — it picks up where you left off.
Tell us about the company
Name, country, the currency you report in, and the month your financial year starts. That's what decides how money is shown and when your year ends.
Bring in your accounts
Choose a ready-made chart or upload your own. Every row is checked first, and you see exactly what will be created before anything is saved.
Enter your opening balances
Type in the closing figures you're carrying over, or import them. They post as one dated entry, so the handover point is clear in your books instead of buried.
Start recording
Invite your team, decide who can approve, and go. Your reports are live from the first approved entry.
Questions
Asked before a demo.
What is double-entry accounting software?
It means every transaction is written to at least two accounts — what you got, and where it came from — and the two sides have to match. AccoPro won't save an entry where they don't. Because that check happens on the server, it holds however the entry arrives: typed in, imported from a spreadsheet, or created automatically by the stock and tax features. The payoff is a trial balance that always adds up, and reports that agree with the ledger instead of being put together separately.
How does the AI work, and can it post entries by itself?
No — it can only ever produce a draft. Upload a supplier invoice as a PDF or a photo and AccoPro reads the party, dates, line items and totals, maps them onto your accounts, and hands you a balanced draft entry to check. Lines it is confident about are filled in; lines it is unsure about show you its best few account suggestions instead of guessing quietly. It also picks up details no field is built for, like chassis or purchase-order numbers, and puts them in the note. Drop in a whole bank register and every row is sorted out — first by rules you have already taught it, then by AI, then by matching names — with the confidence shown for each line before you commit. Every one of those drafts still has to be checked and approved by a person, exactly like an entry typed by hand.
Whose AI is it, and what happens to our documents?
You bring your own provider and your own key, stored encrypted and used only for your company. Leave it blank and the AI features simply switch off — the rest of AccoPro works exactly the same, and the screens say the feature is not configured rather than failing. Text read out of your documents is only ever treated as data to put on an entry, never as instructions to the system.
Can it handle several companies and branches?
Yes. Each company's data is kept apart at the database level, not by a filter someone might forget to apply. Inside a company you can run as many branches as you need. When an entry crosses two branches, AccoPro adds the matching lines on both sides for you, so each branch's books still stand on their own.
How does it stop someone approving their own entries?
Entries move from draft, to checked, to approved, and AccoPro compares the approver against whoever wrote and checked it. If it's the same person, the approval is refused. If you genuinely are a one-person office it lets you through and marks the entry as self-approved so it's visible later — and that allowance disappears by itself the moment a second person is given approval rights.
What reports do we get?
Balance sheet, profit and loss and cash flow using layouts you control, plus trial balance, general ledger, your cash and bank position, who's overdue to pay you, statements for any customer or supplier, and stock reports down to the profit on a single unit. Only approved entries are counted, so a report never includes something still waiting to be checked.
Can we move our existing books in?
Yes. The setup wizard brings in your chart of accounts and your opening balances from a CSV or Excel file. Every row is checked and shown to you first, so you see what will be created before anything is saved.
Does it handle VAT or sales tax?
Yes. Pick your country and the right tax codes and rates are set up for you, and tagged entries post their tax to the correct account automatically. Rates carry dates rather than being a single fixed number, so a back-dated entry uses the rate that applied then, and that rate is saved onto the entry so you can prove it later.
Where does our data live?
On your own server or a private cloud instance, with PostgreSQL underneath. Your attachments and encryption keys sit on storage you control, and the account the application uses can't create or delete tables — so a problem in the software can't take your ledger with it.
